What an office build-out needs from its electrical contractor

What an office build-out involves electrically

An office build-out looks simple on the floor plan: walls, lights, receptacles, data. The electrical work that decides cost and schedule is less visible. It is how power reaches desks that are not against walls, what the conference rooms and the server closet need, how the lighting meets the energy code, and how all of it gets done on a floor where the building has rules about when you can drill, shut down or use the freight elevator.

Workstation power and furniture feeds

Open-plan workstations are usually powered through the furniture. The furniture dealer's drawings show where each run of desks takes its feed and how many circuits the furniture's internal wiring carries. Many systems use several circuits sharing a neutral, and some require a separate neutral per circuit. The electrical design has to match the product actually being bought, so get the dealer's electrical spec sheet before the panel schedule is finished.

• Circuit count per cluster. Desks with two monitors, a docking station, a task light and a phone charger add up. The engineer sets how many workstations share a circuit, and it is not something to stretch in the field.
• Sequence. Furniture is typically installed after flooring, near the end of the job. The electrician roughs in the feed points early and comes back to make the connections once the furniture is in. Build that return visit into the schedule.
• Dedicated circuits for copiers, pantry appliances, coffee machines and the refrigerator. These go on the dedicated circuits list, not the general receptacle count.

Power poles or floor boxes

Desks in the middle of a room get power from above or from below. The choice is usually made on appearance, but it should be made on the slab.

• Power poles drop from the ceiling. They are quick, cheap to move, and do not touch the structure. Some clients dislike the look.
• Floor boxes on an elevated slab mean core drilling. Many South Florida office towers have post-tensioned slabs, where a core can cut a tendon, so the slab has to be scanned and the structural engineer's rules followed. The conduit then runs in the ceiling of the floor below, which is often another tenant's space, so access needs arranging through the building.
• Floor boxes on slab-on-grade mean saw-cutting and trenching, then patching. That is noisy, dusty work that most managed buildings will only allow after hours.

Floor penetrations also have to keep the floor's fire rating intact, which is why listed poke-through fittings are used rather than a plain hole with a box in it. Decide poles or boxes at layout stage; changing the answer after the slab work is priced costs twice.

Conference rooms and AV power

Conference rooms fail on details. The display goes up and the receptacle behind it is six inches too low. The table has a floor box but no pathway for the video cable. The AV rack in the closet shares a circuit with the pantry microwave.

• Get the AV integrator's drawings early: display heights, rack location, table box positions and any ceiling microphones or speakers.
• Put the AV rack on its own circuit, with the receptacle type the rack's power strip or UPS actually uses.
• Run conduit or pathways from the table box to the display wall, and from the display to the rack, sized for the cables the integrator will pull.
• Put lighting in the room on controls that let people dim the front of the room for video without sitting in the dark.

KRW runs the power, pathways and low-voltage cabling. The display, audio and control equipment is supplied and programmed by the AV integrator.

Data, structured cabling and the IDF

Data cabling is usually a separate line in the budget but runs through the same ceiling as the electrical work. Coordinating the two avoids data cable strapped to conduit, pathways blocked by ductwork, and a cabling crew arriving after the ceiling grid has been tiled.

• Plenum ceilings. Where the ceiling is used as a return-air plenum, the wiring methods and cable types have to suit it. Miami-Dade's inspection guidelines list wiring in ducts, plenums and other air-handling spaces as a rough-in check (Miami-Dade electrical inspection guidelines).
• Pathways. J-hooks or cable tray on their own supports, sized for growth, kept clear of light fixtures and ballasts or drivers.
• Labeling. Every jack labeled to match the patch panel, and every drop shown on the as-built drawings.

Server and IDF rooms

A small office's server closet often gets planned last and ends up as the storage room with a rack in it. It needs:

• Dedicated circuits for the rack, matched to the UPS input plug. Many UPS units use twist-lock plugs that an ordinary receptacle will not accept.
• A dedicated circuit for supplemental cooling. Racks run all night, and building air conditioning in many office towers does not, so a ductless split or similar unit is common. Its condensing unit location and circuit are decided with the mechanical engineer.
• Clear working space in front of any panel. Inspectors check working clearances and dedicated equipment space around electrical equipment (Miami-Dade electrical inspection guidelines), so do not plan the rack in front of the tenant panel.
• A grounding connection for the telecom equipment where the cabling designer calls for one.

Lighting, controls and the energy code in office alterations

Lighting is where the energy code shows up most on an office job. Florida's 8th Edition energy code took effect December 31, 2023 (Florida Building Commission). For commercial buildings it draws on the 2021 IECC, with ASHRAE 90.1-2019 as an alternative path, and a state-commissioned comparison notes provisions on occupant sensor controls, daylight-responsive controls and automatic receptacle control (FSEC report for the Florida Building Commission). A new edition of the Florida Building Code takes effect December 31, 2026 (ICC, Florida Building Code 9th Edition), so confirm which edition your permit falls under.

What that means in practice:

• Expect occupancy or vacancy sensors in private offices and conference rooms, and zoned controls in open areas, as the designer specifies.
• Fixtures near windows may need daylight-responsive dimming.
• Automatic receptacle control can mean some receptacles switch off when a space is unoccupied, which has to be planned so the fridge and the network gear are not on them.
• How much of an existing system has to be brought up to the current code depends on the scope of the alteration. The designer's energy compliance documents settle that; do not guess it from the last job.

Occupied floors and managed buildings

Most office build-outs in Miami, Fort Lauderdale and Boca Raton towers happen in buildings that stay open. The building's construction rules matter as much as the drawings.

• Work hours. Core drilling, saw-cutting, hammer drilling and anything that shakes the floor is usually after hours or on weekends.
• Shutdowns. Any work in a shared electrical room, on a riser or on a panel that serves other tenants is scheduled with the building engineer, often at night, with notice to affected tenants.
• Fire alarm. Relocating smoke detectors, strobes and speakers is the fire alarm contractor's work. When devices are covered or the system is taken offline, the building and the fire alarm vendor handle the impairment procedure. Plan it; do not discover it.
• Access. Freight elevator bookings, loading dock times and access to the floor below for floor-box conduit are arranged through property management.

Landlord work, tenant work and the allowance

Before pricing, find out what the landlord is delivering. A vanilla shell might include a tenant panel, a lighting grid and a restroom, or it might mean a meter can and an empty ceiling. Check the tenant panel's capacity against the plan before the lease is final. Office loads are modest per desk, but a dense seating plan, a server room and a full pantry can outgrow a small panel quickly. If the service is involved, see commercial service and switchgear. What to decide early

1. The furniture product and its electrical spec, so the circuit plan matches it.
2. Power poles or floor boxes, decided with the slab type and building rules in mind.
3. AV drawings for every conference room, including rack locations.
4. Server or IDF room location, rack power, UPS plug types and supplemental cooling.
5. The lighting control approach and which receptacles, if any, are automatically controlled.
6. The building's work-hour, shutdown and access rules, in writing, before the schedule is set.
